Start with headcount and room finish. A hotel meeting room for 100 guests needs a compact powered PA and two wireless mics. A CBD ballroom general session for 600 needs a line array with delay fills, a digital console and an engineer at front of house. Historic Quarter courtyards are the hardest: hard surfaces, open sky and neighbors, so we use tightly controlled coverage instead of raw volume.
Count your wireless channels honestly. Every presenter, panelist, runner, officiant and band member is a channel, and every channel has to be coordinated against the venue's RF environment. New Orleans convention spaces are crowded on the spectrum, so we scan and lock frequencies during load-in rather than guessing.
Budget in three buckets: gear, delivery and labor. A speech-and-playback package generally starts around $850 delivered inside the I-610 loop; a staged general session with monitors and an engineer typically starts near $2,400. Dock fees, union labor and overnight parking are venue charges and we quote them separately so you can see who is charging what.
Decide early whether you want equipment only or an engineer. Equipment-only works when a DJ or house tech is already running the room. Anything with live speeches, a band, or a recorded stream deserves an engineer, because gain structure and feedback control are the difference between a program guests hear and one they endure.
